👤 Reports to: Assistant Director IQAE
The QEC Officer will be responsible for supporting the Office of Institutional Quality Assessment and Effectiveness (IQAE) in implementing quality assurance processes and procedures to enhance the quality of education and academic programs at the university. The incumbent will work closely with the Assistant Director IQAE and other stakeholders to ensure compliance with quality standards and improve overall academic quality.
🔹 Key Responsibilities:
1. Manage data related to quality assurance and maintain records of quality assurance activities.
2. Conduct teacher and course evaluation surveys every semester as well as other surveys when required and prepare survey data for analysis.
3. Manage the course file submission process by liaising with focal persons, conducting weekly random checks to ensure compliance with SOPs, and performing semester-end audits to verify that all required content has been uploaded.
4. Provide feedback on course file audits to focal persons and department heads while ensuring the safekeeping and secure storage of course files.
5. Facilitate controlled access to course files for department heads and other authorized personnel upon request.
6. Assist in organizing workshops, seminars, and training sessions for faculty and staff on quality enhancement.
7. Assist in preparing reports and documentation for accreditation processes and quality audits.
8. Sending out regular reminders/follow-up emails to students/departments/focal persons.
9. Facilitating the organization of external visits by HEC and other accreditation bodies.
10. Coordinate with academic departments to ensure compliance with quality standards and accreditation requirements.
11. Any other tasks assigned by the Assistant Director IQAE.
🔹 Job Specifications
Qualification:
Minimum Bachelor’s degree (preferably BBA or related field)
Experience:
1–2 years in quality assurance or a relevant domain (preferably in higher education)
Skills:
Strong understanding of quality assurance principles and practices
Excellent communication, interpersonal skills, and rapport-building skills
Proficiency in MS Office, particularly MS Excel
Candidates with proficiency in SPSS will be preferred
Strong organizational and time-management skills to oversee multiple quality-related tasks
processes, including document audits and compliance checks
Ability to work independently
Ability to work under pressure to meet deadlines
Qualities:
Strong English (written and verbal)
Attention to detail and accuracy, particularly in auditing and reporting
Self-motivation and the ability to work independently
Strong sense of ethics and responsibility
Strong time management
Flexibility to adapt to changing priorities and responsibilities
